ePerformance

Over the last year, LSA explored opportunities to move our paper-intense staff performance management process to an electronic or ePerformance system.  In 2016, several LSA units piloted such a system developed by the College of Engineering (CoE) and used by other units including the Office of the Provost, Rackham Graduate School, and the School of Public Health.  LSA units participating in the pilot provided positive feedback about the CoE system. It was ultimately proposed that LSA select a system offered by PeopleAdmin, a vendor specializing in HR technology solutions for higher education.

Why ePerformance?

LSA is moving to an ePerformance system for several reasons:

  • Improve flow of the performance process between employees and managers by eliminating or at least reducing back and forth exchange of email or print documents

  • Improve calibration with expected LSA performance practices  

  • Reduce some costs associated with completing administrative aspects of process  

  • Obtain better data on staff performance and development

What's Not Changing?

In the interest of simplicity for this transition year, LSA retained key practices from our existing process:

  • Identifying key areas of responsibility for a given position

  • Setting goals or objectives that adjust as circumstances necessitate for the position

  • Using performance standards or results that can help clarify goal achievement

  • Regular, face-to-face discussions about performance and professional development are necessary and expected

What's New?

  Progress notes

  • Optional functionality allowing employees and supervisors to maintain an electronic record of employee performance throughout the year

  • Employees and supervisors cannot see each other’s progress notes

  • Ability to upload attachments including and not limited to letters of recognition, copies of awards, notes from one-on-one discussions, and other such materials often helpful at reducing bias when completing annual reviews

   Adjustments to existing LSA performance rating options and an additional rating

  • Largely similar to prior three-level rating scale used by LSA
  • Addition of “Exceeds Expectations” and general criteria for use of all four ratings

Resources and Support

LSA HR is offering a variety of resources to support adoption of the ePerformance system:

  • LSA-wide forums on the overall system

  • Continuing department-specific visits as requested

  • Continuing sessions on work planning that will incorporate use of system

  • Step-by-step job aids, ePerformance screen shots, and other such resources

  • With the help of LSA Instructional Support Services (ISS), recorded versions of presentations on key components of the system will also be available.

About PeopleAdmin

The partnership with PeopleAdmin was approved for an initial period of three years.  PeopleAdmin’s clients include Harvard, Princeton, New York University, University of North Carolina (Chapel Hill), University of Notre Dame and many other institutions.  Learn more about PeopleAdmin HERE.  By Monday, April 24, 2017, all LSA staff and supervisors should receive an email from PeopleAdmin that provides information about how to access the LSA Staff ePerformance system.  Next week we will add a link to the system on our website HERE. I encourage you to bookmark the site once you receive the email with information regarding how to log in.  If due to staffing transitions an employee or supervisor do not receive this email or appear in the system as you expect they should, please contact Karyn Procter-Wicks or me.
